1. Despre OfferTrack
OfferTrack este un add-in pentru Microsoft Outlook care permite urmarirea si gestionarea ofertelor primite prin email. Add-in-ul atribuie statusuri email-urilor (Necitit, Citit, Amanat, Preluat, Rezolvat, Nu e oferta) si mentine un istoric complet al modificarilor.
2. Date colectate din email-uri
Cand deschideti un email in Outlook cu OfferTrack activ, add-in-ul acceseaza urmatoarele informatii din email-ul curent:
- Adresa expeditorului (campul "De la")
- Adresele destinatarilor (campul "Catre")
- Subiectul email-ului
- Data si ora primirii email-ului
- Identificatorul unic al mesajului (InternetMessageId - standard RFC 2822)
- Un hash SHA-1 calculat din proprietatile email-ului (expeditor, destinatari, subiect, data) - utilizat pentru compatibilitate cu inregistrari anterioare
Nota: Continutul email-ului (corpul mesajului) NU este citit, stocat sau transmis catre serverul nostru.
3. Date de autentificare
Pentru a utiliza OfferTrack, este necesara autentificarea cu credentialele organizatiei dumneavoastra:
- Numele de utilizator si parola sunt transmise securizat (HTTPS) catre serverul de autentificare si NU sunt stocate pe dispozitiv in clar
- Token JWT (JSON Web Token) - primit dupa autentificare, stocat temporar in localStorage-ul browserului. Contine: numele de afisare al utilizatorului, identificatorul unic, data expirarii
- Numele de afisare al utilizatorului - extras din token JWT si utilizat pentru inregistrarea actiunilor
4. Date colectate automat de server
La fiecare actiune efectuata in add-in, serverul inregistreaza automat:
- Adresa IP a clientului - stocata ca identificator al statiei de lucru in istoricul actiunilor
- Data si ora exacta a fiecarei actiuni (modificare status, adaugare comentariu)
5. Modificari in Outlook
OfferTrack efectueaza urmatoarele modificari in cutia dumneavoastra postala Outlook:
- Categorii master - add-in-ul creeaza 6 categorii cu culori distincte in cutia postala (Necitit, Citit, Amanat, Preluat, Rezolvat, Nu e oferta)
- Categorii pe email-uri - aplica/modifica categoria email-urilor individuale conform statusului curent
- Proprietati personalizate - stocheaza local pe fiecare email un cache cu statusul curent (pentru afisare rapida)
6. Scopul colectarii datelor
Toate datele sunt colectate exclusiv pentru:
- Identificarea unica a email-urilor in sistemul de tracking
- Afisarea informatiilor relevante in panoul add-in-ului
- Mentinerea unui istoric complet de audit al actiunilor
- Asigurarea trasabilitatii actiunilor pe utilizator si statie de lucru
7. Stocarea datelor
Datele sunt stocate in urmatoarele locatii:
- Server SQL - pe infrastructura companiei dumneavoastra, folosind autentificare Windows integrata
- Local pe dispozitiv - token JWT in localStorage (se sterge la deconectare sau la expirare)
- Proprietati email Outlook - cache local al statusului pe fiecare email
8. Partajarea datelor
OfferTrack NU partajeaza datele colectate cu terte parti. Toate datele raman pe infrastructura organizatiei dumneavoastra. Nu utilizam servicii de analytics, publicitate sau tracking de la terti.
9. Securitate
- Toate comunicatiile intre add-in si server se fac exclusiv prin HTTPS (TLS)
- Autentificarea utilizeaza token-uri JWT cu data de expirare
- Baza de date utilizeaza autentificare Windows integrata
- Credentialele nu sunt stocate pe dispozitiv in text clar
10. Drepturile dumneavoastra
Aveti dreptul de a:
- Accesa datele stocate despre activitatea dumneavoastra
- Corecta informatiile incorecte
- Solicita stergerea datelor dumneavoastra din sistem
- Va deconecta oricand, ceea ce sterge token-ul JWT local

Privacy Policy
1. About OfferTrack
OfferTrack is a Microsoft Outlook add-in that enables tracking and managing email offers/quotations. The add-in assigns statuses to emails (Unread, Read, Postponed, Taken, Resolved, Not an Offer) and maintains a complete history of all changes.
2. Data collected from emails
When you open an email in Outlook with OfferTrack active, the add-in accesses the following information from the current email:
- Sender address ("From" field)
- Recipient addresses ("To" field)
- Email subject
- Date and time received
- Unique message identifier (InternetMessageId - RFC 2822 standard)
- A SHA-1 hash computed from email properties (sender, recipients, subject, date) - used for backward compatibility with existing records
Note: The email body content is NOT read, stored, or transmitted to our server.
3. Authentication data
To use OfferTrack, authentication with your organization's credentials is required:
- Username and password are transmitted securely (HTTPS) to the authentication server and are NOT stored on the device in plain text
- JWT Token (JSON Web Token) - received after authentication, temporarily stored in browser localStorage. Contains: user display name, unique identifier, expiration date
- User display name - extracted from the JWT token and used for action logging
4. Data collected automatically by the server
For each action performed in the add-in, the server automatically logs:
- Client IP address - stored as a workstation identifier in the action history
- Exact date and time of each action (status change, comment addition)
5. Outlook modifications
OfferTrack makes the following modifications to your Outlook mailbox:
- Master categories - the add-in creates 6 color-coded categories in your mailbox (Unread, Read, Postponed, Taken, Resolved, Not an Offer)
- Email categories - applies/modifies categories on individual emails according to their current status
- Custom properties - stores a local cache of the current status on each email (for fast display)
6. Purpose of data collection
All data is collected exclusively for:
- Unique identification of emails in the tracking system
- Displaying relevant information in the add-in panel
- Maintaining a complete audit history of actions
- Ensuring traceability of actions by user and workstation
7. Data storage
Data is stored in the following locations:
- SQL Server - on your company's infrastructure, using Windows Integrated Authentication
- Locally on the device - JWT token in localStorage (deleted on logout or expiration)
- Outlook email properties - local status cache on each email
8. Data sharing
OfferTrack does NOT share collected data with third parties. All data remains on your organization's infrastructure. We do not use third-party analytics, advertising, or tracking services.
9. Security
- All communications between the add-in and server are exclusively via HTTPS (TLS)
- Authentication uses JWT tokens with expiration dates
- The database uses Windows Integrated Authentication
- Credentials are not stored on the device in plain text
10. Your rights
You have the right to:
- Access data stored about your activity
- Correct inaccurate information
- Request deletion of your data from the system
- Log out at any time, which deletes the local JWT token
